How to write a message a busy person actually answers
No templates, no "Hope this finds you well." A short, human message that reads like you wrote it, because you should. With before-and-after examples.
AI-generated imageA busy person decides whether to read your message in about two seconds. Most outreach fails that test because it's obviously mass mail: generic, all about you, clearly sent to a thousand people. The fix isn't a cleverer template. It's writing like a person.
Before
"Hi, I hope this email finds you well. We are a leading provider of go-to-market solutions that help businesses like yours scale revenue. Would you be open to a quick call?"
Nobody answers this. It could have been sent to anyone.
After
"Hi Sofia, your new pricing page answers the one thing every competitor in your space dodges: what it costs before the call. That is rare, and it is exactly why the people who find that page convert. We reach the buyers who never get that far into your site. Worth fifteen minutes next week?"
Look at what changed. The first line is a specific, checkable observation about their work, not a compliment and not a claim about us. The second says why it matters to them. Only then does the message say what we do, in one clause. The ask is small and dated.
Two more, in the same shape
It works whether you sell software or scaffolding:
"Hi Marco, you have shipped three manufacturer rebrands this year and every case page uses the same before-and-after structure. That structure is doing the selling. We reach the manufacturers who never get that deep into your site. Fifteen minutes Thursday?"
"Hi Emma, great running into you at the stand. The zero-slides robot demo stuck with me. We are around tomorrow too, lunch with the group before the closing?"
None of them pitch. Each proves, in its first sentence, that a person actually looked.
The rules that matter
- Lead with something only true about them.
- Keep it shorter than feels comfortable.
- Ask for a conversation, not a sale.
- Send it from your own name and inbox, not a bulk sender.
